The best laid plans are sometimes disrupted, which is why reading and understanding the following terms and conditions is important before you decide to sign up to this retreat.

Fees & booking procedure

• For clarity, our guests accept the following terms & conditions when they book the retreat

• The price of the retreat is clearly displayed on the website. There are 3 prices, reflecting the options available for the accommodation:

1. Private bungalow, no sharing with other guests

2. Private bungalow, sharing bathrooms & common rooms but not sleeping arrangements

3. Shared bungalows, including bedrooms.

• The booking process has been designed to allow you to be intentional rather than impulsive. Practically, this means that the booking procedure consists of 3 steps:

1. You select your preferred accommodation on the form

2. You will be asked to share your name, email address, whatsapp number as well as clarify whether you wish to pay by instalments (3 instalments available, plus a 10% admin fee)

3. We send you an invoice, inviting you to pay by bank transfer. You will have 10 business days to complete your payment. 

4. Once we receive the funds, we confirm your booking by email. 

5. If we do not receive your payment within 10 business days and you haven’t been in touch with us, we will release your booking to other guests. If you are encountering any issues with your payment, we suggest you contact us so that we can find a solution together.

• To reward early decision makers, we offer an ‘early bird’ discount of 10%. This early bird discount is available for a limited time, after which the full price will be applied.
  For clarity, payment must reach our bank account by the end of the ‘early bird’ window to benefit from the discount. The early bird discount will not be applied retrospectively.

• If you book your place more than 4 weeks before the start of the retreat, we offer a ‘cooling off period’ of 14 calendar days. This means that you can cancel your booking within the cooling off period & receive a full refund promptly, minus an admin fee of HKD 500. 

Inclusions & exclusions

The price of the retreat includes workshops, accommodation, meals and refreshments made available to the group.

Flights, airport transfer, alcohol and massage are not included in the price of the retreat. 

Refund, cancellation & transfer policy

No refund will be offered after the cooling off period. If you are unable to attend the retreat, or arrive after the start/leave before the end, no refund will be offered. Similarly, if you choose to opt out of any part of the retreat, no partial reimbursement can be offered.

We thought deeply about this point and, as small businesses with commitments to uphold to our own suppliers, we are unable to make any exceptions to this no-refund policy, not even for personal emergencies. With this in mind, we strongly advise you to take out travel insurance to protect yourself accordingly. 

If you are unable to attend the retreat, you may transfer your place to a friend, subject to our prior email approval of your replacement. We will not charge a transfer fee for this.

Location, conditions and nature

The retreat will take place in Bali Ecostay, a spectacular, sustainable eco-resort on the island of Bali, Indonesia. https://www.baliecostay.com/

This location has been selected for the balance between comfort, sustainability and access to nature. 

The bungalows are traditional Balinese open-air dwellings, close to rice paddies, a waterfall & the jungle. Practically, this means that there is no air conditioning. The bungalows are kept cool with fans and the breeze. In addition, there are limited man-made sounds around. Instead, you will be immersed in the sound of flowing waters and the ‘soothing chorus of tropical jungle’.  

The food offered during the retreat will be vegetarian. Please let us know of any dietary requirements before the beginning of the retreat.

Most of the food is grown onsite, using permaculture. Bali Ecostay offers unlimited complimentary filtered spring water throughout the resort, sourced onsite. There is a strict no plastic bottled water policy to reduce plastic waste.

To help Bali EcoStay protect nature and limit the impact of our presence, we would ask that you only use organic products (soap, shampoo, etc.) while onsite. We would also ask that we all give our surroundings the respect it deserves.

To the risk of sounding obvious, it might be useful to remind our guests that, being surrounded by nature means that we may, from time to time, share the resort with animals.

Passport, visa requirements and travel insurance

You are responsible for ensuring that you have a valid passport with sufficient expiry date remaining, any necessary visas and/or required inoculations or other health requirements. 

You are also responsible for taking appropriate travel insurance. 

Waivers

General waiver:  Neither Charlotte Douglas Yoga nor Adaptologie limited will be held liable for any losses, damages, injuries or death occurring during or arising from the retreat activities.

Physical & mental health: We will have yoga classes twice a day. While these will not be strenuous, it is understood that you are responsible for ensuring that you are fit enough to join the classes. It is your responsibility to determine whether you can participate to these sessions, at your own risk. 

We will also have group coaching workshop twice a day. It is understood that these are not therapy or counselling session. No such services are provided as part of the retreat. 

It is your responsibility to determine whether you can participate to the sessions included in the programme retreat, at your own risk. 

Privacy and confidentiality

In any contact you make with us, we may use your details to inform you of important updates and special offers. You can unsubscribe to this service at any time. We will not pass on your information to any third party or outside organisation, without your permission.

We respect your privacy. We ask that you respect the privacy of the other participants as well. 

Any insight, personal experience and story shared during the retreat by any of the participants should be treated as confidential information and not repeated out side the retreat.
